Job Summary
The Administrative Officer aassist the direct supervisor in setting the key objectives of the department or section; performs and executes a range of different administrative tasks; provide the support to COS staff and prepare the specialized documents and reports of the department outcome. The employee is responsible for day-to-day coordination with other Alfaisal University’ Departments, and accountable for all department communication, planning, and execution events.
- Provides active administrative participation in office management, including handling general clerical tasks such as writing memo and encoding data.
- Maintains the departments calendar and schedule appointments and book meeting room as requested.
- Prepares and modifies all departmental documents including correspondence, reports, drafts, memos, and emails.
- Assists with implementing department policies and procedures to ensure that office operations comply with Alfaisal university policy provisions and standards.
- Collects data and updates records from various sources, then analyzes for accuracy, completeness, and relevance.
- Prepares reports and presentations with statistical data and other charts, and graphs.
- Provides support to faculty, admins, and students about all necessary information, such as changing class time or location, by sending an e-mail to students or all.
- Coordinates and attends events, meetings, or other activities as requested by the supervisor.
- Organizes and prepares scheduled meetings for the direct line manager and as requested.
- Manages office equipment and supplies and ordering new equipment and supplies as needed.
- Develops an administrative support system based on the department’s needs.
- Manages collage Petty cash and clear invoice with finance accordingly.
- Maintains filing system for all documents and ensure it is well-organized for electronics and hard copy.
- Performs all duties in a professional, competent, and confidential manner.
- Performs all other related duties as required or assigned by the manager.
Education & Experience
- Bachelor’s degree in Business Administration, Human Resources or equivalent from an accredited institute.
- Minimum of two (2) years’ experience working in clerical tasks, secretarial or related fields.
